How Does Billing and Collection Work?
WaterWatch handles all billing operations internally. Each property is assigned an Account Representative to handle all management issues; resident’s billing questions are handle through the WaterWatch toll-free service number or online at www.mywaterwatchbill.com. AMR (automatic meter reading) is the most accurate and the most advanced way to read a meter. Each month WaterWatch will read the meter, mail the bill or e-bill, and collect the payment for each unit. WaterWatch uses a full page billing statement, and mails it first class. The bill provides an itemized breakdown of the utility charges and a tear-off identification stub to assure proper and rapid return of your money. Individual resident or property management messages can be included on each billing statement.

Utility Allocation Methods
WaterWatch calculates each unit’s bill based on one of the following utility allocation methods:
- 100% Metered
Each apartment unit’s utility cost is measured 100% by a meter. Whether the utility is water, gas, or electric, the unit’s meter identifies only that resident’s usage consumption. This method of submetering is the most accurate and allows for point of use maintenance troubleshooting. - Meter Ratio System
Depending on the properties mechanical layout, it may only be possible to meter a portion of a utility. For example, a water submetering system may meter the hot water inlet (usually before the hot water tank) and allocate the cold water usage. This method allows for the maintenance team to partially detect leaks and identify unit location. - Ratio Utility Billing Service (RUBS)
RUBS are an alternative approach to allocating utility expenses when submetering is impossible due to unit mechanical configurations. Formulas are created to allocate usage based on factors that can include square footage or number of occupants. The property’s master meter usage is divided among residents according to established formulas. RUBS does not allow for specific unit maintenance troubleshooting leaks. - Run-Time Allocation
A run-time module is a digital device that monitors the time a gas valve, switch or other voltage input is applied. The device calculates the time and outputs a pulse to interface with a wireless transmitter for data transmission. Pulses are calculated and then allocated to each unit based on master bill usage.
Monthly Management Reports Via Web Access
Monthly management reports provide information on resident consumption, payment, and high or low usage. They also include WaterWatch's monthly property performance report - indicating monthly billing, monthly collections and reimbursement amounts. Every billing cycle, WaterWatch will notify your management via e-mail that the property submetering reports are available on the WaterWatch web site for viewing. Monthly, the property utility reimbursement check can be deposited electronically or mailed.
Delinquent Account Procedures
On a bimonthly basis, WaterWatch will mail a late notice to each delinquent resident. Also, a follow up phone call or email is place to each tenant by our collections department. On a quarterly basis, a seriously delinquent letter is mailed stating their delinquency could be subject for eviction. If a resident moves out and has a balance remaining, the resident’s information is sent to a collection agency. WaterWatch collection rates are among the highest in the industry. We strive to collect all your property’s utility income in a fast and effective manner.
Maintenance Services
Every submetering network will eventual need maintenance. Over time meters will wear and replacement parts or meter change outs may be needed. WaterWatch maintains a network of service technicians a crossed the nation to quickly and correctly identify any system problems. Accurate and consistent meter reads are a top priority. WaterWatch maintenance service agreements are available upon request.
Integrating With Property Management Software
Yes, WaterWatch can integrate with different property management software vendors. Software integration allows for a smoother and more accurate data transfer between the property management’s data base and the WaterWatch billing software. This integration reduces your managements work load by eliminating manual move-in and move-out forms.
